At Hartley Botanica, we’ve hosted thousands of weddings, and we’ve found that a thoughtfully planned timeline creates a relaxed, enjoyable celebration for you and your guests.

Our venue rental includes 6.5 hours of event time, while our catering team provides 5 hours of service, allowing plenty of time for your ceremony, dinner, dancing, and all the unforgettable moments in between.

Here’s how a typical wedding day unfolds.

Understanding Your Venue & Catering Time

Your 6.5-hour venue rental begins one hour before your ceremony. This hour is reserved for your wedding party photos, final preparations, and guest arrival.

Your 5-hour catering service begins at the start of cocktail hour, approximately 30 minutes after your ceremony begins.

Both your venue rental and catering service conclude when the music ends, ensuring every part of your celebration stays perfectly coordinated.
Couples may choose any 6.5-hour event window between 3:30 PM and midnight. While your timeline is flexible, all celebrations must conclude by midnight.

Every wedding is unique, but this schedule works beautifully for most celebrations.

One Hour Before the Ceremony - Wedding Party Photos
Your photographer captures:

• Individual bridal portraits
• Groom portraits
• Bridesmaids
• Groomsmen
• Family members as needed
• Final detail photos

Completing these photos before guests arrive allows everyone to relax and enjoy the celebration afterward.

Ceremony | 20–30 Minutes
Your ceremony is the heart of the day.

Whether you choose a traditional processional or a more modern celebration, most ceremonies comfortably fit within a 20 to 30-minute timeframe.

Cocktail Hour
Immediately following the ceremony, guests enjoy cocktails, appetizers, and conversation while you finish family portraits and newlywed photos.

This is also when catering service officially begins.

Cocktail hour gives everyone a chance to mingle while your photographer captures some of the most beautiful images of the day.

Grand Entrance
After cocktail hour, your guests are invited into the reception where your wedding party is introduced.

Then comes one of everyone’s favorite moments…

Your grand entrance as newlyweds.

First Dance

Many couples choose to flow directly into their first dance while everyone’s attention is focused on the dance floor.

It’s a beautiful way to begin the reception.

Dinner Service
With everyone seated, dinner is served while guests relax and enjoy great food, conversation, and your beautiful surroundings.

Parent Dances
After dinner, many couples honor their families with:

• Father & Daughter Dance
• Mother & Son Dance

These special moments create lasting memories for everyone in attendance.

Toasts
Wedding toasts often follow the parent dances while guests remain seated.

Keeping speeches together helps maintain a smooth flow and keeps the evening moving comfortably.

Open Dancing
Approximately 1 hour and 40 minutes after cocktail hour ends, it’s time to open the dance floor.

This gives guests plenty of time to enjoy dinner and formalities before celebrating the rest of the evening together.

Last Dance
Every celebration deserves a memorable ending.

Whether it’s a private last dance or inviting everyone onto the dance floor for one final song, ending your evening on a high note creates a lasting memory before your grand exit.

Choosing Your Ceremony Time

Because your event can take place anytime between 3:30 PM and midnight, you have flexibility when selecting your ceremony start time.

Many couples choose later afternoon or early evening ceremonies to enjoy comfortable temperatures, beautiful natural light, and a seamless transition into dinner and dancing. Sunset and daylight-savings time can shift the timing of this as well.
